Clarifications regarding new procedures for applications in the FAEPEX Research Program

On October 31, 2025, following approval by the FAEPEX Advisory Board, the Pro-Rectorate for Research (PRP) disclosed new procedures for requesting the annual appeal of FAEPEX Research Line.

Aiming to maintain broad community access to FAEPEX Research LineSubmissions of proposals may follow two types of processing:

  1. Direct (simplified approval): In cases where the applicant indicates a current research project or agreement, or one completed less than two years ago, as complementary funding, it will be possible to request the resource directly, without the need to prepare a specific proposal for this purpose.
  2. RegularIn cases where complementarity involves other types of projects or justifications not contemplated in the direct modality, the traditional analysis procedures will be maintained. In these situations, the proposal will be evaluated by the Ad Hoc Advisory Board and the Executive Committee of the respective area.

The other change presented concerns the increased flexibility in the use of resources. Thus, provided that the rules for using FAEPEX and FUNCAMP are followed, the resources may be used without the need for prior justification at the time of submission.

The following clarifications address the changes in the proposal submission process for the FAEPEX Research Line category, based on questions submitted by the academic community.

1. Can a professor/researcher who does not have, or has not had in the last two years, a current research project apply for annual funding from the FAEPEX Research Line?

Yes. In these cases, the procedure remains unchanged. The proposal must be submitted through the FAEPEX system and will follow the regular processing, with analysis by reviewers. and by the Executive Committee of the area.

2. Will proposals with other types of complementarity still be eligible to access resources from the FAEPEX Research Line?

YesProposals with other types of complementary elements, and therefore not eligible for direct processing, will be analyzed following the rules of the regular processing procedure.

Examples of complementary activities that are not eligible for direct access to the annual quota of the FAEPEX Research Line, but which can be requested through the regular channels, include: a) being an Associate Researcher in research projects or agreements; b) resources from Postgraduate Programs to finance student participation in scientific events; c) specific cases not foreseen in the FAEPEX Manual.

3. Will all professors/researchers be able to get the full amount of the Research Line approved through the direct ("automatic") processing?

NoThe maximum amount that can be approved through direct processing, within the annual quota limit, cannot exceed 50% of what was granted in the project used to demonstrate complementarity.

Thus, to request the maximum annual amount currently foreseen for the FAEPEX Research Line [R$ 8.000,00 (eight thousand reais)], the research project/agreement presented as a basis for complementarity must have a value equal to or greater than R$ 16.000,00 (sixteen thousand reais).

4. Considering that the current annual quota is R$ 8.000,00, can proposals whose supplementary project is less than R$ 16.000,00 access the FAEPEX Research Line?

YesIn these cases, there are two ways to request it:

a) Direct processingIt is possible to request up to 50% of the value of the presented project as a supplement, even if this amount is less than the ceiling of R$ 8.000,00 (eight thousand reais);

b) Regular processingIf the amount accessed through the direct route is not sufficient to meet the needs of the teacher/researcher, the request may be made through the regular route, undergoing the standard FAEPEX evaluation.

5. Can those who request the annual Research Funding through the regular channels use it flexibly?

YesThe approved funds will be used flexibly, regardless of whether they were obtained directly or through regular procedures, with an accounting report required at the end of the utilization period.

6. Are resources obtained through research agreements with companies considered in the complementarity analysis?

YesResearch projects funded by companies are already considered in the FAEPEX complementarity analysis.

7. Will there be rules for the use of the approved funds?

YesThe approved funds must be used in accordance with the rules established by FAEPEX and FUNCAMP, with an accounting report submitted at the end of the utilization period.

However, the applicant will not need to justify in advance the intended use of the funds. For example, the purchase of consumable materials, the contracting of third-party services, and expenses related to participation in scientific events for members of the research group will already be pre-authorized.

These actions provide autonomy in resource allocation and expedite the response to applicant requests.

8. Can the approved funding, whether through direct or regular processing, be used to finance the applicant's participation, or that of their advisees, in scientific events?

YesRegardless of the approval method, the use of resources will be flexible, adhering to the same requirements and limits established by... FAEPEX standards, with the submission of an accounting report at the end of the usage period. Thus, the applicant will have the freedom to decide how to use it without needing to make new submissions for analysis.

9. Are the new rules already in effect?

NoThe direct processing for accessing the annual quota for the FAEPEX Research Line modality will only be implemented with the launch of the new platform. from FAEPEX, scheduled for the first half of 2026. Until then, all application procedures remain unchanged.

10. Can newly hired professors and researchers apply for funding through the FAEPEX Research Line?

YesNewly hired faculty and researchers are eligible to submit proposals to the FAEPEX Research Line.

However, considering that, at this stage of their careers, institutional funding is even more important for the development of their academic activities, the PRP and PRDU proposed a funding line intended exclusively for this audience.

11. Does FAEPEX consider periods of leave of absence for faculty/researchers when analyzing submitted proposals?

YesFAEPEX analyses take into account the specific circumstances of applicants who were on leave from the University due to maternity leave or health treatment, and whose research activities were impacted by their absence.
